Job Title: Procurement Coordinator

Reports to: Director, Marketing and Development with accountability to Director, ReStore Operations and Director, Building Services

Status: Full time, 40 hours per week

Location: 1525 Stone Church Road East, Hamilton, ON (ability to work from home office when necessary)

Join Habitat for Humanity Hamilton as a Procurement Coordinator, where you’ll play a vital role in securing gift-in-kind (GIK) donations to grow our ReStore operations and support our mission of providing affordable housing solutions. In this dynamic role, you’ll develop and nurture relationships with supply partners, coordinate with the ReStore team to identify material needs, and ensure smooth logistics for donation pickups and deliveries. With your sales or fundraising experience, construction knowledge, and exceptional organizational skills, you’ll drive the success of our procurement efforts, contributing to the growth and sustainability of Habitat for Humanity Hamilton’s impactful work across the communities we serve.

Habitat for Humanity strengthens its mission with the support of the ReStore, a social enterprise and home improvement warehouse that offers new and used affordable merchandise to the general public. Revenues generated by the Hamilton ReStore fund all administrative and operational costs at Habitat Hamilton. This means that 100% of donated funds to Habitat Hamilton directly support its build program.

Job Purpose:

Reporting to the Director of Marketing and Development, and working in direct support of ReStore Operations and the Building Services Program, the Procurement Coordinator will play a critical part in growing existing relationships, forging new relationships, and securing more product and gifts-in-kind along with other organizational supports as needed.


Requirements & Prerequisites

Duties & Responsibilities:

External Relationship Development: Cultivate and nurture relationships with supply partners, subtrades, donors, and other stakeholders to obtain donations of (or discounts on) materials and professional services in support of Habitat for Humanity’s mission.

Internal Engagement: Work closely with the ReStore and Building Services teams to identify their needs and preferences for materials and services, ensuring alignment with Habitat’s operational requirements and building standards.

Administration and Tracking: Maintain accurate records of gift-in-kind donations, including quantities, specifications, availability, and delivery schedules. Generate reports and track progress towards procurement goals, providing regular updates to relevant stakeholders.

Assistance with Takeoff Process: Collaborate with the Building Services and the ReStore teams to facilitate the takeoff process for donated materials, including assessing quantities, volumes, and specifications. Coordinate pick-up, delivery, and scheduling according to build requirements and timelines.

Stewardship and Growth: Proactively steward existing donor relationships, ensuring ongoing engagement and satisfaction. Identify opportunities to expand partnerships and secure additional gift-in-kind contributions to support Habitat Hamilton’s programs and initiatives.

Cross-Functional Collaboration: Work closely with the Director of Marketing and Development, Director of the ReStore Operations, and Director of Building Services to align procurement strategies with organizational goals and priorities. Receive direction and workflows from these stakeholders to ensure cohesive and effective execution of procurement activities.

Qualifications:

  • Post-secondary education in a related field or a minimum of 3-5 years of relevant experience
  • Extremely motivated, outgoing individual with a positive outlook and passion for generating a social impact in the Hamilton community
  • Demonstrated knowledge of the construction industry, building practices, and the skilled trades
  • Experience managing contracts and logistics, including shipping & delivery, is considered an asset
  • Strong understanding of the local affordable housing crisis, Habitat Hamilton’s mission, vision, values and development model
  • Demonstrated organizational, verbal and written communication, time management and problem-solving skills
  • Previous experience with fundraising and/or sales is a strong asset
  • Strong business acumen with a proven ability to build effective working relationships
  • Solid computer skills including MS Teams, Office, Outlook, Social Media, and working with databases such as Salesforce
  • Negotiation and contract management experience are essential
  • Ability to work independently and within a team environment, taking a proactive stance in project success and completion
  • Ability to be flexible and responsive to emerging needs of the organization
  • Ability to maintain a positive outlook and have fun while contributing to the goals of the organization
  • Physically able to lift and carry up to 50 pounds, walk up stairs and on an active build site
  • Willingness to work some evenings and weekends as needed
  • Ability to deliver clean police check
  • Valid driver’s licence and the use of a reliable vehicle
  • Attend events, festivals and tradeshows as necessary
  • Recommend and implement improvements to affiliate process and policies
  • Other duties as assigned.
