Information, Communication and Events Coordinator
Job Description
This is an ideal position for someone interested in a creative career in the non-profit sector. Permanent Part-time: minimum 22.5 hours (3 days) to start and up to 30 hours (4 days). This position is scheduled during daytime office hours (Mon-Thurs), with the need for occasional evening and weekend flexibility. Must have own transportation. Remuneration based on experience and qualifications.
Responsibilities:
Information and Communications:
Provide frontline reception, information and referral services: answer phones, greet/register clients, look up community information, research queries
Maintain information and referral materials (hardcopy and electronic) and manage organizational listings on partner databases
Update and coordinate posts to all social media, including website, Facebook, Twitter, Instagram, LinkedIn and join and coordinate new platforms as appropriate to organizational needs.
Create and distribute promotional materials within community and networks
Draft and distribute regular e-newsletter and targeted updates to community stakeholder groups
Facilitate outreach services/presentations as required throughout community
Coordinate Flamborough Volunteers activities and outreach services to community
Maintain all contact lists (service agencies, volunteers, participants and donors)
Coordinate follow up and thank you correspondence with donors, supporters and volunteers
Events:
Coordinate and promote all FC organizational events: Community Connector Series, AGM, Online Auction, Flamborough Volunteer Appreciation, Holiday Gift Program etc
Schedule and supervise volunteers for all FC organizational events and support volunteer needs in other program areas.
Support coordination of events in other program areas: senior education series, youth empowerment
Reporting
Collect and input all pertinent statistical data (Daily logs, program participation, web and social media data etc)
Provide detailed monthly reports on activities and organizational statistics
Meet with FC supervisor when required to evaluate program successes and target ongoing activity goals
Provide administrative/notetaking/evaluation support for organizational meetings/events when required
Requirements & Prerequisites
Qualifications and Skills:
Knowledge of rural Hamilton, Flamborough and Waterdown
Knowledge of and sensitivity to the experiences of those in community needing social supports
Post-Secondary completion and a minimum of one-year related experience
Excellent written and verbal communication skills complemented by strong interpersonal, time-management and presentation skills
Excellent computer, social media and office technology skills: Microsoft Office, Canva, WordPress, MailChimp, Zoom, CRM software
Ability to work as part of a small team and take initiative
Experience working with and supporting volunteers
Must have G license, insurance and reliable vehicle to travel throughout area as needed
Must be fully vaccinated for COVID-19
