Community and Donor Engagement Administrator– Full Time

Hamilton, Ontario

Salary: $48,200 – $55,200

 

 

Position:   As an integral part of the Community and Donor Engagement (CDE) team, as the Administrator, you will process and maintain donor information in the Indwell Constituency Relationship Management (CRM) system, issue charitable receipts in conformity with CRA guidelines, correspond with Indwell donors and other supporters, and provide administrative support to the CDE Director and team.  Being a self-starter with excellent interpersonal skills, you will be able to set priorities and work in a dynamic environment with little supervision, and embrace Indwell’s mission and values.

Hours of Work: Full Time – 40 hours per week, Monday- Friday, 9am-5pm.

What you will be doing:

 

  • Entering donation, grants, pledges, donor and prospect information in Indwell’s CRM; Keep database records accurate and up-to-date
  • Printing and mailing or e-mailing charitable tax receipts and gift acknowledgment letters to donors; forward information about gifts to regionally based Community Engagement Coordinators
  • Developing and running reports on gifts and grants received for programs and projects
  • Preparing and sending acknowledgements for memorial and in-honour gifts, and gifts received via flow-through charities (e.g. Canada Helps)
  • Assisting in scheduling and preparing for donor visits, church visits and other speaking engagements, community building and fundraising events
  • Providing administrative support for community building and fundraising events and for giving groups (such as Agents of Hope)
  • Implementing new donor welcome strategy
  • Making and taking telephone calls related to donations, credit card and address changes, recurring giving and payment processing, credit card and address changes
  • Responding to inquiries and sending appropriate materials (by email or print), perform other related gift stewardship and donor acknowledgment and cultivation activities
  • Maintaining team calendar and take minutes of team meetings
  • Keeping track of and organize print and promotional materials
  • Performing other duties as assigned

Requirements & Prerequisites

 

What you will bring:

 

  • Post-secondary education in a relevant area of study. At least two years’ work experience in fundraising administration; exposure to donor stewardship and recognition best practices is an advantage.
  • A commitment to upholding and modeling Indwell’s mission statement, values, Statement of Faith, and other operating standards and policies, reflecting them in all interactions and decisions. 
  • Experience with a Salesforce CRM or other donation or sales management software
  • Comfortable with Microsoft Office applications, particularly MS Excel and Word
  • Demonstrated organizational skills, is thorough and pays attention to detail
  • Strong verbal and written communication skills
  • A flexibility and adaptability as a team player comfortable working in an open office environment
  • Sensitivity to the confidential nature of this position and able to maintain confidentiality
