Job Description

Position:  Financial Administrator (NEW)

Position Type:  Permanent, Part-time; 15 – 20 hrs/week

Salary Range:  $17 – $22/hr 

Hamilton Children’s Choir is a community-based organization that boasts six different choral programs. HCC offers instruction and performance for young people,  from a child’s first exposure to choral music to professional concert performances and international touring opportunities. HCC is committed to providing children and youth with rich musical education and performance opportunities, to create a sense of belonging, nurture personal growth, and experience the benefits of community. 

The Financial Administrator is a new position that will report to the Executive Director and assist with general processing and preparation of financial account information and as well provide some general administrative and IT support for staff.  The ideal candidate will be someone seeking to build their work experience towards a career in bookkeeping and financial management, and cares about making a difference in the lives of young people in the greater Hamilton community. 

WORK RESPONSIBILITIES

Program Registration & Administration

  1. Communicates, implements and processes on-line program registrations
  2. Manages program fee payments, reconciles monthly fee payments and initiates collection of past-due accounts
  3. Creates, maintains and updates program membership records
  4. Processes member withdrawal requests and produces refunds in accordance with the HCC refund policy
  5. Receives financial award application requests and processes them for approval
  6. Respond to program account questions or billing discrepancies 

Financial Administration

  1. Processes bank deposits as required and tracking of new monies received
  2. Maintains an annual financial log to track cheque distribution, EFT transactions, and any other pertinent financial transactions
  3. Processes and maintains accounts payables including all outgoing disbursements and petty cash
  4. Receives, organizes, tracks and processes contract payment agreements
  5. Assists the Executive Director with monthly financial reports to ensure account reconciliation and reporting accuracy

General Office Support

  1. Acts as the administrator for all cloud-based software programs and assists staff with basic software issues.
  2. Collects incoming mail and distributes information accordingly

Requirements & Prerequisites

  • 1 to 2 years of bookkeeping work experience
  • Good understanding of bookkeeping procedures
  • Working experience using G-Suite
  • Experience working with a cloud-based accounting system such as Xero or Quickbooks
  • Ability to work independently and comfortable with taking initiative
  • Time management and organizational skills, with keen attention to detail
  • Excellent interpersonal and communication (both written and verbal) skills
  • A strong work ethic, integrity and the ability to be discreet with confidential information
