Job Description

Position: Bookkeeper

Reports to: Director of Finance and Administration

Hours: Part Time, 24 hours per week

Rate: $22.00 – $25.00 per hour

Job Summary:

The Bookkeeper supports the entire Habitat for Humanity Hamilton Affiliate including Administration, Finance, Home Building, Marketing, Fundraising, and the ReStore by managing all aspects of financial bookkeeping, acting as the general communications point of contact by phone and email, and direct support to the Director of Finance and Administration.

Responsibilities

• Review and process payments for invoices, request approvals and process cheque/EFT payments to suppliers and contractors.
• Maintain accurate bookkeeping by completing all entries in the accounting system as well as gathering and filing all supporting documentation.
• Manage the ReStore cash counting and deposits, along with mortgage receivables and donations of cash.
• Monitor and investigate any discrepancies with the cash deposits and sales reports.
• Perform bank reconciliations and resolve any outstanding items.
• Receive in person donations and mortgage payments and provide a receipt to verify funds were received.
• Work with the team to ensure all back up documentation is submitted.
• Review monthly credit card statements and post expenses on financial system.
• Provide monthly financial reports and sales reports, as well as ad hoc reports requested by management.
• In conjunction with auditors, support annual tax returns.
• Reconcile biweekly payroll process including system entries, delivery of pay stubs, payroll deposits, and ROEs as required.
• Prepare and deliver annual T4 slips for all staff.
• Read/direct incoming mail and telephone calls, including faxes and emails daily.
• Support the new employees including receipt of offer letters, police checks, benefits and new employment packages.
• Prepare/edit/print affiliate documents as required.
• Other duties as assigned.


Requirements & Prerequisites

Skills and Qualifications

• Good interpersonal skills to effectively communicate with all employees at Habitat Hamilton.
• Ability to work on multiple projects while adhering to multiple deadlines.
• Ability to communicate complex financial information with staff and management.
• Organized and excellent data entry skills and attention to detail
• Familiarity with general principles of accounting
• Strong arithmetic and mathematical skills
• Ability to maintain confidential information with integrity and ethics.

Education and Experience

• Completion of Bookkeeping College program
• Proficient with QuickBooks online
• Knowledge of MS Office, Outlook and Teams
• Experience in the construction industry is highly desired.
• Office administration experience ordering supplies, designing filling systems, managing phone calls and correspondence.
