POSITION SUMMARY

 

Reporting to the Executive Director, the Executive Assistant is responsible for providing administrative support to the Executive Director and Board of Directors. The Executive Assistant plays a critical part in assisting teams and projects within the organization. The Executive Assistant oversees office operations, public relations activities, and is expected to have comprehensive knowledge of the organization’s policies, procedures, and practices.

DUTIES AND RESPONSIBILITIES

  • Oversee office operations including purchasing, development and maintenance of administrative policies, procedures and records.
  • Work closely with the Financial Administrator, providing documentation and information.
  • Provide support to the Executive Director including scheduling meetings, receiving correspondence, and maintaining calendar and files.
  • Provide support to the Board of Directors and their committees including meeting attendance and minute taking, preparation of monthly Board package and updating of Board manual.
  • Provide support to staff including assistance with funding proposals, reports and purchase of service agreements.
  • Conduct event planning for meetings, workshops, events and conferences.
  • Engage in public relations and marketing including development of quarterly newsletter, and implementation of a communications and marketing plan.
  • Provide support to recruitment processes, orientation of new staff and updating the Human Resources Manual.
  • Prepare and distribute the SPRC Annual Report and coordinate the Annual General Meeting.
  • Help maintain the SPRC website and social media

 


Requirements & Prerequisites

Skills & Qualifications:

Required Skills

  • Office Administration – Executive Diploma or equivalent
  • Minimum 3 years experience working in an administrative occupation (non-profit sector preferred)
  • Exceptional organizational skills, attention to detail, ability to multi-task, handle multiple interruptions and meet deadlines
  • Experienced and proficient with Microsoft Office 2010 (ie. Word, Excel, Outlook, Access) and Adobe Acrobat
  • Experience in at least one design program (Adobe Illustrator, Canva, or Photoshop)
  • Working knowledge of WordPress, MailChimp and CRM software
  • Experience with social media accounts (eg. Facebook, Twitter, LinkedIn, YouTube)
  • Ability to work well and communicate with all levels of the organization, community partners, contractors and vendors
  • Ability to work within a team and committees
  • Excellent communication skills- verbal and in writing with the ability to produce reports, letters and agreements
  • Demonstrated ability to think “outside the box” by making recommendations for improvements to processes
  • “Can-do attitude” with an ability to make decisions, take initiative, be flexible (sometimes working after hours) and adaptable to a changing environment

 

Assets

  • Designation as a Certified Administrative Professional (CAP)
  • Member of the International Association of Administrative Professionals (IAAP) or other administrative association
  • Previous governance experience and familiarity with by-laws, policies and procedures
  • First Aid/CPR and WHMIS Certificates
  • Ability to communicate in French

 

Job Type: Contract, Part -Time (27 hours per week)

Contract Duration: 12-month contract (maternity leave; flexible start date March/April 2020 – April 2021

Salary Range: $22.00 to $23.50 per hour
