Job Description

HR Off-Site, recruiting on behalf of Vine Ridge Resort, is in search of an entrepreneurial and systems-oriented individual to take on the key role of Accounting and Administration Specialist.

POSITION SUMMARY

Reporting to the General Manager and Controller, the Accounting and Administration Specialist is responsible for conducting all financial and administrative functions and ensuring the health and security of operational systems at Vine Ridge Resort.

Specifically, the Accounting and Administration Specialist must efficiently manage payables and receivables, perform monthly reconciliation(s), prepare accurate financial statements and reports, administer payroll, and oversee owner accounts. This position will coordinate with internal and external stakeholders and ensure that all accounting and administrative activities support the Company’s strategic objectives and comply with applicable standards, regulations, and legislated requirements.

KEY RESPONSIBILITIES & DUTIES

Financial Accounting & Reporting

  • Compile, verify and record all accounting transactions and manage the general ledger (GL).
  • Assist in preparing and monitoring budget(s).
  • Perform accounts payable (A/P) and accounts receivable (A/R) functions.
  • Oversee account billings, process invoices, and maintain meticulous records.
  • Perform bank reconciliations and prepare financial statements and reports, monthly.
  • Uphold and strengthen internal processes and controls to ensure accuracy of financial documents.
  • Stay up to date and in compliance with administrative and accounting standards and regulations.

Payroll & Administration

  • Conduct weekly payroll activities for all employees; prepare and process payments.
  • Prepare, reconcile, and file payroll remittances and forms (i.e., HST, EHT, EI, ROEs, T4s, ).
  • Enroll and onboard new employees, maintain employee files, and report on employee data.
  • Manage health and safety documents/records and complete claims as required.
  • Maintain a robust filing and record-keeping system.

Service Support & Coordination  

  • Provide exceptional customer service and assist with account-related inquires, when required.
  • Assist with policy development, implementation, and administration.
  • Provide accounting and administrative support to internal and external stakeholders and address irregularities.
  • Perform all other duties as assigned.

Requirements & Prerequisites

QUALIFICATIONS
  • 2+ years’ experience working in an accounting, administrative, or comparable role, required.
  • Experience in operations and/or the hospitality industry, an asset
  • Criminal background check, required.
  • Proficient in English.

  • Strong organization and analytical skills
  • General knowledge and understanding of accounting and administrative principles.
  • Excellent verbal and written communication skills.
  • Ability to effectively manage time and prioritize tasks to meet deadlines.

  • Able to work independently or in a team setting.
  • Technologically savvy and proficient in Microsoft Office applications
  • Accurate and detail oriented.
  • Knowledge of and adherence to ethical standards and confidentiality.
  • Ability to think critically and problem-solve.
  • Willingness to learn, adapt and take initiative.
