Job Description

Days & Hours of Work: Mon-Fri 8:30am to 5pm (with a 30-min lunch break)

Wage: $28 per hour Benefits: Extended health, dental and vision

The HR Coordinator will be a highly responsive and trusted partner to stakeholder teams, managers, and employees alike, accountable for the day-to-day operations of the Human Resources function. Reporting to the HR Manager, the HR Coordinator will be a key member of the HR team, demonstrating exceptional attention to detail, a high degree of confidentiality and strong interpersonal skills.

Key Accountabilities include:

People Operations & Employee Experience

  • Be the first point of contact for employees and managers on daily transactional needs, providing effective solutions and enhancing the employee experience, escalating to HR Manager as required.
  • Serve as the HR administrator for the HRIS, ensuring data accuracy and consistency, proactively resolving issues and escalating system-related concerns as needed.
  • Assist with pre-employment processes, including creation of personnel files, pre-employment verification requirements, HCM system onboarding, engaging with and updating stakeholders effectively and escalating uncleared items to the HR Manager ahead of new hire start.
  • Facilitate new employee orientation and coordinate the onboarding experience for a smooth transition to the company.
  • Assist with offboarding processes, including but not limited to clarifying and executing required steps, coordinating the return of company property, ensuring a positive transition for departing employees.

Payroll & Benefits Administration

  • Internal Payroll administration and key payroll liaison with ADP.
  • Process all employment changes in ADP in accordance with the approval workflow.
  • Submit all demographic changes and all payroll requests by Friday prior to pay week.
  • Audit timesheet approvals for overtime, absence and time off coding and unusual entries and follow up with managers to confirm accuracy
  • Ensure all timecards and leave requests are approved in ADP Workforce Now by Monday at 10am of pay week and communication to ADP Payroll accordingly.
  • Audit payroll changes report and hours summary and resolve any discrepancies.
  • Provide internal payroll approver with confirmation of audit completion and sign-off in order that they can proceed to authorize the payroll with ADP.
  • Update the Payroll Finance Summary workbook following each approved payroll submission.
  • Administer Internal Benefits for Group Health Benefit Plan, including all new enrolments member status changes, and plan changes.
  • Audit monthly billings for changes in benefit premiums and updates ADP taxable benefits accordingly.

HR Support

  • Assist with the talent acquisition efforts by creating job descriptions, posting positions, screening candidates, scheduling interviews, analyzing recruitment data, and tracking activities, all while collaborating effectively with hiring teams and candidates.
  • Attend key hiring events and job fairs to attract talent and strengthen our employer brand.
  • Administer apprenticeship, training and grant programs, ensuring requirements are met, preparing and submitting information in a timely manner.
  • Create reports and analyze HR data to support the assessment, implementation and evaluation and improvement of human resource programs and processes.
  • Provide support to HR and cross-functional projects as needed.
  • Other duties as assigned to meet department and organization objectives.

Requirements & Prerequisites

Qualifications

  • 2+ years of progressive experience as a Human Resources Coordinator or similar People Operations role in a fast-paced, high-growth environment.
  • 3+ years working with HCM systems and payroll processes.
  • Bachelor’s degree or post-secondary certificate in human resources management.
  • A positive attitude and a passion to learn and grow. You understand how to represent our values.
  • Ability to handle sensitive/confidential information with professionalism and a high degree of discretion.
  • Effective and persuasive oral and written communication and presentation skills.
  • Solid understanding of applicable employment and human rights legislation in Ontario.
  • Excellent time management and organizational skills to work in a high growth environment.
  • Strong attention to detail and proven ability to juggle and reprioritize work based on dynamic business demands and deadlines.
  • Problem-solving skills.
  • ADP WorkforceNow familiarity preferred.
  • CHRP designation (in-progress) will be an asset.
