Position Type: Full-time (35 hours per week), Contract (8 weeks)

St. Joseph’s Healthcare Foundation Hamilton is looking for two Office Assistants to join our team of dedicated, caring and mission-focused professionals.

Core Function: The Office Assistant plays an integral role in advancing the mission of St. Joseph’s Healthcare Foundation. The Officer will support key fundraising activities across various departments of the Foundation, including donor relations, special events and community partnerships, marketing and communications, and administration.

Key Accountabilities:
The Office Assistant will assist various departments of the Foundation. Tasks and responsibilities may include, but are not limited to the following:

  • Donor Relations
    • Donor event set-up
    • Donor wall review and assist with naming inventory project
  • Special Events and Community Partnerships
    • Ordering materials and signage
    • Assembling kits/packages for event participants
    • Delivery of packages to supporters and partners
    • Testing website platform applications
    • Coordinating in-kind donation requests and follow-up
    • Updating and reviewing of letters, proposals and other content
  • Marketing and Communications
    • Placing/restocking Foundation collateral and materials at all Hospital campuses
    • Supporting and staffing Foundation events and activations
    • Inventory and organization of Foundation collateral and supplies
    • Folding and mailing correspondence
  • Administration
    • Assisting with digitization of records
    • Conducting preliminary research on policy and process improvement topics
    • Other duties as assigned according to the needs of the Foundation team

Requirements & Prerequisites

Skills Required:

  • To be eligible for the Canada Summer Jobs Program, youth must:
    • Be between 15 and 30 years of age at the beginning of the employment period
    • Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of employment
    • Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations
  • University degree of college diploma preferred
  • Exceptional ability to multi-task with strong attention to detail
  • Strong oral and written communication skills
  • Excellent computer skills
  • Ability to work collaboratively with volunteers and staff
