Position Summary
Employment Hamilton is seeking a professional and highly organized Administrative Assistant / Receptionist to provide front-line administrative and reception support. This role is essential to maintaining efficient office operations and a welcoming, well-organized environment for clients, staff, and visitors.
The successful candidate will be comfortable working in a high-volume setting, managing competing priorities, and providing consistent, detail-oriented administrative support.
Employment Type: Full-Time, Temporary Contract
Contract Term: Until March 31, 2027 (with possibility of extension)
Location: In Office – Hamilton, ON
Key Responsibilities
Reception & Front-Line Support
•Serve as the first point of contact, welcoming clients and visitors in a professional and respectful manner
•Answer, screen, and direct incoming phone calls, emails, and general inquiries
•Schedule appointments and manage client flow in a high-volume environment
•Monitor shared inboxes and respond to routine inquiries in a timely manner
•Support daily opening, closing, and smooth operation of reception areas
General Administrative Duties
•Provide administrative support to program and management staff
•Prepare, format, and maintain documents, forms, and correspondence
•Perform high-volume, accuracy-critical data entry and database updates
•Use Excel and other digital tools to support tracking, reporting, and scheduling
•Maintain electronic and paper filing systems in accordance with confidentiality requirements
•Order office supplies and support day-to-day office operations and upkeep
•Coordinate with external service providers and support routine operational needs
•Provide cross-coverage and general administrative support as required
Requirements & Prerequisites
Required Qualifications
•Minimum 2 years of administrative or reception experience
•Strong customer service and communication skills
•Excellent organizational skills and attention to detail
•Proficiency with Microsoft Office (Outlook, Word, Excel)
•Ability to work efficiently in a busy, in-office environment
Preferred Qualifications
•Experience in a non-profit, employment services, or community-based organization
•Experience working with client databases or scheduling systems
•Familiarity with handling confidential information
